Roles and access
Access to PALBONTradeFinance follows roles. A person opens the app when they hold any of the eleven trade roles below, or System Manager. What they may read, create, change and approve on each record type depends on those roles.
1. The trade roles
The app creates these roles when it is installed (and restores any that go missing on every migrate). Rename, merge or extend them through the usual Role and Role Profile screens.
| Role | Duty |
|---|---|
| Trader | Offers, confirmations, trades and their linking |
| Contracts Executive | Drafts, shares and amends trade contracts |
| Legal Manager | Approves contract deviations and addenda; signs and terminates contracts |
| Trade Finance Executive | Letters of credit, bank quotes, presentations |
| Trade Finance Manager | Approves bank selection, issuance, waivers, settlements and payments |
| Logistics Coordinator | Vessel nominations, voyages and statements of facts |
| Shipping Manager | Accepts vessels, approves laytime, vets vessels and ports |
| Documentation Executive | Surveyor work orders, document instructions and document sets |
| Trade Risk Manager | Counterparty screening, credit limits, exposure, alerts |
| Treasury Manager | Funding, discounting, FX and hedges, bank facilities |
| Trade Auditor | Reads every trade record; changes none |
System Managers can also design workflows, automations, forms and print layouts.

The workflow decides who may move a record to its next step. The approver roles of every workflow are listed in Workflows.
3. Four eyes
Approval steps ask for four eyes: the person who asked for the step (or who owns the record) cannot approve it. For example, the Trade Finance Manager who submitted a credit for issuance cannot also approve the issuance; a second manager has to. The same applies to deviation approvals, settlement approvals, vessel acceptance, laytime approval, hedge booking, funding awards, credit limits and sanctions decisions.
4. Give a person access
- In Desk, open Users (
/app/user) and the person's user record (or create one with their e-mail address). - In Roles, tick the trade roles they need, for example Trader and Contracts Executive. A Role Profile gives a standard set of roles in one click.
- Save. The person signs in again and sees PALBONTradeFinance in the launcher.
- To limit a person to one company, add a User Permission for Company.
Tip: For a first look, give one test user the roles of the whole chain (Trader, Contracts Executive, Legal Manager, Trade Finance Executive, Trade Finance Manager, Logistics Coordinator, Shipping Manager, Documentation Executive, Trade Risk Manager, Treasury Manager) and a second user the manager roles, so you can carry out the four-eyes approvals.
